Town Hall Teleconferences (All Staff Meetings)

Multiple office companies are working harder than ever at keeping staff informed of changes in the business, because staff who feel engaged and informed are more loyal and work more effectively.

In addition to the traditional channels of email and intranets, it is becoming more common to have an "all hands" or "town hall" teleconference where all staff are invited and a senior executive provides a "state of the nation" style presentation followed by questions from the conference call attendees.

Town hall conference calls are often recorded and put on the organisation's intranet for staff unable to attend the original meeting.

How do I get started?

Inviting staff

Where possible gather staff into groups around speaker phones. This reduces the number of telephone lines required (and hence the cost) and also brings the team together.

Provide the telephone number and participant code to the invited staff with a reminder to mute their telephone when they are not speaking.

Equipment

The presenter(s) will typically be in a conference room using a speaker phone. Ensure that the presenter:

  • Is close to the speaker phone and facing it when talking
  • Does not put anything between his/herself and the speakerphone such as notes or a laptop computer screen

Test the sound quality before the meeting.

At the start of the meeting

  • The presenter(s) join the meeting using the moderator security code; this gives control over the meeting
  • Tell everybody what the meeting is about
  • Remind everybody to mute their phone by pressing the mute button or by pressing *6

After the meeting, look for honest feedback from staff to assist in fine tuning the meeting making future ones as productive as possible.
